Background / General description:


NOTE: This is a 6-month short term assignment.  Applicants should at least meet the minimum requirements as reflected in the selection criteria. This job is open to short-term temporary, agency temporary, or other external candidates. 


The World Bank Office Beijing (WBOB), with over 100 staff, is seeking an accounting team assistant (TA) to carry on the tasks of the incumbent, who will be on maternity leave during the period from August 1st, 2022, to Jan. 31, 2023.   The TA is part of the Finance team of WBOB, a team of 3, which is responsible for the delivery of services and functions in the following areas: 


(i) Financial Accounting, Reporting, Control and Fiduciary. 

(ii) General Accounting Service to staff and clients.


The selected candidate will report to the Accounting Officer, the STT will work on but not limited to the following tasks.


Duties and Accountabilities:


Specific tasks and responsibilities include:


1. Assigned AP invoice posting in system: 

• Payment requests for office administrative activities 

• Payment requests for operational activities

• Quarterly VAT refunds from Government – data entry in MOFA system

• vendor registration.

• UPI application.


2. Contract processing (both for services and goods)

• Purchase Order/Purchase requisition creation in SAP

• Contract follow-up and filing 

• SES and LOIV creation

• Liaison with GSD as needed.


3. STT/STC Travel request and travel expenses reimbursement: 

• Create STT/STC/visitor trip request in travel web

• Process STT/STC/Visitor trip expense reimbursement

• Obtain approval from TTL/budget holder for SOE claims


4. Office e-Banking payment process

• Data entry for payment disbursement via e-banking system. 

• Managing office local bank account including assist RM staff for bank reconciliation 

• Responsible for Accounting A/P filing


5. Performs other financial and administrative duties as required

• Back-up of other RM staff’s responsibilities;

• Assisting staff and consultants with inquiries regarding contracts, payments and any general information as needed;

• Communicate with Accounting Headquarter team for accounting process and posting.


Selection Criteria:


• A relevant Bachelor's degree in Accounting, Finance, Business, or Economics, and a minimum of at least 1-2 years relevant practical experience during which some experience in payments processing is deemed essential.  Experience in working with international agency/enterprises will be highly desirable

• Strong analytical skills and good judgment

• Proficient IT competency to use the Institution’s standard technology packages. 

• Excellent interpersonal and communications skills, both oral and in English  writing. Ability to work in a multi-cultural team environment

• Excellent organizational and administrative skills and ability to accomplish a broad range of daily or repetitive tasks and meet deadlines

• Ability to take initiative and work efficiently under pressure in a fast changing and dynamic environment

• Good team player with a positive attitud
